Job Overview:

We are seeking a detail-oriented and proactive individual to join our team as a Project Assistant. This is an entry-level position that offers full training, making it a great opportunity for someone looking to build a career in project coordination and administrative support. In this role, you'll work closely with our Help Desk team to provide essential support during key phases of project execution-especially installation planning and scheduling.

Key Responsibilities:

  • Administrative & Phone Support: Work directly with the Help Desk team to support project logistics and communication efforts.
  • Outbound Phone Coordination: Make outbound calls (non-sales) to:
    • Conduct pre-site and mall calls for installation planning
    • Confirm customer information and scheduling details
    • Coordinate lift scheduling and clarify deliverables for each project
  • Project Lifecycle Support: Assist with specific phases of the project management lifecycle, including planning, execution, and close-out.
  • Documentation: Track and record project-related tasks, updates, and required resources in an organized manner.
  • Customer Coordination: Serve as a liaison between the project team and customer service locations, ensuring smooth and timely communications.
  • Logistics Confirmation: Verify logistical details with all internal and external stakeholders to support successful project outcomes.

Requirements:

  • High school diploma or equivalent required
  • Prior administrative or customer service experience is preferred, but not required
  • Comfortable with making outbound phone calls (again, this is not a sales role)
  • Willingness to learn and grow within a supportive team environment

Additional Info:

  • Pay range: $20/hr.
  • Schedule: 8am-5pm, Monday - Friday
  • Location: 100% in office
  • Type: 6-month contract - potential for longer and/or permanent hire depending on business needs
